Onboarding Coordinator

Hi! I’m Joana David, Onboarding Coordinator at HarveStaff.

I graduated from the Polytechnic University of the Philippines in 2015 with a degree in Business Administration, majoring in Human Resource Development Management. Before joining HarveStaff, I accumulated 7 years of experience in HR across various industries, including Retail, Insurance, Food, Catering & Events, IT, and an Australian outsourcing account. Throughout my career, I’ve been involved in end-to-end recruitment and administrative tasks, with roles ranging from Human Resources Assistant to Recruitment Admin Coordinator.

My responsibilities in these positions included sourcing candidates, conducting interviews, ensuring compliance with document and screening requirements, facilitating contract signing, managing pre-employment orientations, and overseeing the onboarding process.

When I started with HarveStaff, the transition was seamless for me as I was already accustomed to working in a high-volume hiring environment.

What are your key responsibilities as the Onboarding Coordinator, and what does a typical day look like for you?
The key responsibilities of an Onboarding Coordinator involve overseeing the entire onboarding process on a day-to-day basis. This includes tasks such as monitoring placements, sending out offer letter and new hire paperwork, managing screening requirements, and enrolling new hires into the database. My primary responsibility is to ensure that new hires have a smooth and efficient experience throughout the onboarding process.

In addition to managing these tasks, part of my role is to interact and establish strong relationships with the entire onboarding team, as well as other key business units such as the sales team, recruitment team, contract liaison team, and accounting team, to ensure alignment and smooth coordination across departments.

What do you enjoy most about your role, and can you share a specific achievement you’re particularly proud of?

HarveStaff is an organization with a high volume of requirements, and this is something I truly enjoy. I take great pride in my ability to deliver work to the highest standard possible, always giving my full attention to every task. Through this, I’ve developed strong skills in multitasking, working under pressure, and managing my time effectively. Despite the demands of a high-volume workload, I’ve learned how to stay organized and ensure that everything is done accurately and on time.

One achievement I’m particularly proud of occurred before my first work anniversary—I was honored with the Second Quarter Star Rising Award. This recognition came during a peak season for our client, Bayer, where we successfully onboarded a total of 156 contractors in the second quarter.

Can you tell us about a successful onboarding experience you’ve facilitated and how it impacted the new hire or the team?
One of my strengths is my ability to adapt to change and stay organized. I thrive in environments where I can manage multiple tasks and priorities, and I find great satisfaction in being flexible while maintaining structure.

Working with and understanding a diverse range of people in the workplace can be one of the most challenging aspects of my role, but it’s also something I genuinely enjoy. I approach every task with enthusiasm and a positive mindset.

For me, every contractor who successfully completes the onboarding process is an achievement. However, not everyone has a smooth experience. Some of our contractors at HarveStaff are not tech-savvy, and some still prefer the traditional pen-and-paper method for filling out forms. I recall one particular contractor who needed extra assistance throughout the process because he admitted he wasn’t comfortable with technology.

It was challenging, as I had to guide him step by step, describing every detail carefully. But in the end, it was incredibly rewarding. He expressed how, at his age, he never thought he would experience the benefits of technology, and I was proud to have helped him not only complete the process successfully but also gain a better understanding of how technology works. That moment was a true achievement for both of us.

What are your top three tips for new employees to make the most of their onboarding experience?
One important tip I’d give to new employees is to build a strong relationship with your onboarding coordinator. This person is your key support throughout the onboarding process and can help guide you through each step, ensuring a smooth transition into your new role. Second, communicate effectively. Open communication is key to a successful onboarding experience. Don’t hesitate to ask questions—it won’t harm you; in fact, it will help you avoid mistakes and gain a clearer understanding of the process. Open communication ensures that you’re well-informed and confident every step of the way.

Could you share a fun fact about yourself or a hobby that you enjoy outside of work?
Outside of work, I am a proud mother of three beautiful girls, aged six, four, and one. Since becoming a mother, my life has revolved around them.

Fun fact? My hobbies now include playing with my kids, teaching them, and learning from them. Household chores and caring for my family have become integral parts of my daily life, and cooking has evolved into one of my skills. Thinking about what makes my children happy has become a source of joy and inspiration for me. While these responsibilities are common for a mother, they’ve also shaped my unique hobbies, skills, and interests.

Before becoming a mother, I was an active member of my college departmental volleyball team, playing as an open hitter and middle blocker. That was my hobby and a passion of mine during my school years. I also enjoy watching movies and series, particularly those in the genres of Medical, Law, and Romantic-Comedy.

What are your goals for the future of onboarding at HarveStaff? Are there any improvements or innovations you hope to implement?
My goal for the future of onboarding at HarveStaff is to ensure that our contractors have a seamless and smooth experience in the onboarding process. Recently, during a meeting with the HR team, we discussed the idea of creating a video that outlines the guidelines for completing paperwork and answers frequently asked questions (FAQs). Since not all contractors are tech-savvy, this video would provide them with immediate answers and walk them through the onboarding steps.

Additionally, we proposed holding a pre-employment orientation or town hall for new hires who will be starting the following week. This will help them feel prepared and informed about what to expect on their first day. Before they are transitioned to their new Point of Contact, we can also address any final questions, concerns, or clarifications they may have, ensuring that they are fully ready for their onboarding and integration into the team.

What message would you like to share with the team about the importance of onboarding?
Why is onboarding important? Onboarding is crucial because it sets clear expectations for communication and establishes a strong foundation for new hires. It is the process of hiring, training, and integrating new employees into the organization, helping them feel comfortable and welcomed. Effective onboarding educates new hires about the company’s culture, values, and expectations, and it creates a positive first impression of how the company treats its employees.

A well-executed onboarding process helps new employees quickly get acclimated to their roles, understand what their job entails, and how to collaborate effectively with their new team. Ultimately, onboarding fosters a sense of belonging and enables new hires to hit the ground running, contributing to their success and the overall success of the company.

Community Involvement

At HarveStaff, we believe in giving back to the communities we serve. One of our proudest initiatives is sponsoring the Iowa Force Volleyball team, a non-profit program that empowers female athletes in the Des Moines area.

Through our support, we contribute to the development of young female athletes, aligning with Force Volleyball’s mission to build a championship program while instilling essential life skills. The program emphasizes sportsmanship and player development, preparing athletes to become positive members of their communities. This partnership reflects our commitment to community engagement and supporting initiatives that foster growth.
